Privacy Policy

This Privacy Policy describes how KosherHub (“KosherHub,” “we,” or “us”) collects, uses, and protects information when you use the USA First Distribution platform (the “Platform”), including the optional integration with QuickBooks Online (“QuickBooks”).
1. Information We Collect
The Platform collects two categories of information:
- Account information you provide directly: name, email address, role, and authentication credentials managed by our identity provider.
- Operational data created in the ordinary course of using the Platform: customers, products, orders, invoices, shipments, and notes you or your team enter.
2. QuickBooks Online Data
When an authorized administrator connects the Platform to a QuickBooks Online company, we use the OAuth 2.0 access and refresh tokens issued by Intuit to read and write a limited set of records on your behalf:
- Customers — display name, billing/shipping addresses, primary contact email and phone, and the QuickBooks customer record id.
- Items (products) — name, type (Inventory / Service), unit price, purchase cost, on-hand quantity, and the QuickBooks item record id.
- Invoices — line items, totals, sales tax, shipping, transaction date, document number, ship date, tracking number, and the QuickBooks invoice record id.
- Accounts — read-only lookup of the company’s default Income, Inventory Asset, and Cost of Goods Sold accounts, used to correctly classify items we create.
We do not read or write QuickBooks Payments, Deposits, Bills, Vendors, Employees, or Payroll data. Captured payments stay inside QuickBooks and are reconciled by your accounting team directly there.
The Platform stores the Intuit refresh token, the connected company id (Realm ID), and the QuickBooks record ids that link our records to yours so syncs are idempotent. We never sell, lease, or share QuickBooks data with third parties for advertising or analytics.
3. How We Use Information
- To provide, operate, and improve the Platform.
- To synchronize records between the Platform and QuickBooks at the explicit request of an authorized user (no automatic background posts — every push to QuickBooks is initiated from the QuickBooks tab inside the Platform).
- To diagnose errors, investigate support requests, and prevent abuse.
- To comply with applicable laws, lawful requests, and our legal obligations.
4. How We Share Information
We share information only with: (a) the cloud infrastructure providers we use to host the Platform and its database, under standard data-processing terms; (b) Intuit, when you instruct us to push or read records via the QuickBooks API; and (c) law enforcement or other parties when required by law. We do not sell your information.
5. Data Retention & Deletion
We retain operational data for as long as your organization maintains an active Platform account. You can disconnect the QuickBooks integration at any time from the QuickBooks > Settings tab; this revokes our access tokens and stops new syncs. To request deletion of your account or specific records, contact us at [support@kosherhub.com]. We will action the request within 30 days, subject to legal retention obligations.
6. Security
We use TLS in transit, encryption at rest for the production database, role-based access controls inside the Platform, and regular dependency and platform security updates. No system is perfectly secure; if you believe an account has been compromised, contact us immediately.
7. Children’s Privacy
The Platform is a business tool and is not directed to children under 13. We do not knowingly collect information from children.
8. Changes to This Policy
We may update this Privacy Policy from time to time. The current version will always be available at this URL with an updated “Last updated” date.
